Job Title: Representative - Customer Service (Order Clerk)

Job Summary:

The Customer Service Representative (Order Clerk) plays a vital role in building and maintaining customer and vendor relationships, managing requests for quotations, stock orders, returns, and purchase orders, and coordinating with other departments to provide exceptional service to customers.

Key Responsibilities:
  • Receive and process customer requests for price quotations, orders, order changes, adjustments, and cancellations.
  • Develop and maintain strong relationships with customers and vendors to ensure timely and accurate order fulfillment.
  • Responsible for receiving, sorting, cleaning, and repackaging overstock and defective lenses, frames, and accessories for return to vendors.
  • Assist in the assembly, packaging, and marking of frames for monthly auto-kit mailings and maintain customer lists for participating accounts.
  • Use a PC to retrieve customer information, stock status, and order status, and make changes to customer orders.
  • Work closely with vendors to place orders, retrieve order status, and follow up on customer quotations and delivery information.
  • Ability to troubleshoot and resolve customer and coworker issues in a diplomatic and cordial manner.
  • Understand and communicate company policies, procedures, promotions, and negotiate in a professional and courteous manner.
  • Sort and deliver mail to inter-department personnel and perform mid-day computer back-up and end-of-day close-out duties.
  • Must be self-motivated to cross-train and learn other duties and responsibilities of the department.
  • Maintain a clean, organized, and safe work environment.
  • Understand and follow all company and manufacturer's policies and procedures, and maintain confidentiality of proprietary and HIPAA-protected information.
  • Willingly assist others as needed to meet deadlines and maintain an even workload.
  • Provide proper training, work direction, and technical guidance to less experienced coworkers.
Requirements:
  • High school diploma, GED, or equivalent experience.
  • 1+ year of experience in customer service, hospitality, or a call center environment.
  • Excellent telephone etiquette and ability to maintain composure in challenging customer situations.
  • Strong verbal and written communication skills.
  • Good organizational skills, attention to detail, and numerical accuracy.
  • Basic PC skills, including MS Office, Word, and Excel.
  • Ability to lift/move up to 40 pounds.
