Job Summary

The Loan Officer Assistant plays a crucial role in the mortgage banking firm by performing various activities related to assisting originators build complete loan files for submission. This role may perform the Lead to Contract and/or Contract to Close duties.

Key Responsibilities
  • Lead to Contract Duties:
    • Act as a primary point of contact for the customer, providing exceptional customer service and ensuring timely communication.
    • Assist originators in appointment setting with prospective and new applicants, maintaining a high conversion rate from lead to appointment.
    • Provide administrative support, managing various client databases, sending new clients online pre-qualification links, and assisting with obtaining accurate and thorough 1003s.
    • Analyze customer credit and financial scenarios, determining appropriate loan products, and running credit on assigned loans.
    • Prepare Initial Fee Worksheets, pull and prep web applications, and update credit reports and AUS findings.
    • Request status updates from pre-approved clients and referral sources, maintaining a strong sense of urgency and responsiveness.
    • Keep up-to-date with company-approved programs and software systems, implementing and executing new systems for the team and clients.
    • Provide marketing support, coordinating, creating, obtaining compliance approval, tracking, and distributing advertising materials as needed.
  • Contract to Close Duties:
    • Monitor key dates related to loan transactions, responding accordingly, and sending loan forms, disclosures agreements, and supporting documentation to customers for completion and signature.
    • Manage assigned originators' databases, tracking active loans, and entering data as needed.
    • Maintain customer contact, ensuring follow-up of loan applications, and providing quality customer service.
    • Provide support in collecting and preparing loan applications with supporting documentation for processing.
    • Order necessary documents, such as 4506T, SSA, Credit Supplements, AccountCheck, and Work Number, as needed.
    • Prepare and submit loan applications to processing, helping to resolve any subsequent file issues and escalating processor conditions as required.
    • Review CD to ensure fees and cash at closing are consistent with the commitment to the customer.
    • Provide any necessary assistance through the production and underwriting process.
    • Provide status updates to referral sources on active loans, subject to Guild's policies on Consumer Privacy and Safeguarding of Information.
    • Answer customer inquiries related to active loans and/or loan application status.
  • Additional Common Duties:
    • Act as a primary point of contact for the customer, keeping them informed throughout the process, subject to the limitations as set forth in Guild's SAFE Act and Consumer Privacy/Safeguarding in Information policies.
    • Pricing loans in accordance with Guild's policies and communicating fees to the operations team.
    • Quoting rates and making commitments regarding locking to customers.
    • Maintaining referral source relationships through quick response time and excellent customer service.
    • Preparing and sending thank-you cards to referral sources and new clients.
    • Collecting supporting documentation from customers, gathering necessary documentation for pre-approval.
    • Acting as a point of contact for the customer and referral source, keeping them informed throughout the process.
    • Discussing product features with customers.
    • Performing other duties as assigned.
Requirements
  • High school diploma or equivalent is preferred, along with at least two years of experience in mortgage lending or a related field.
  • Active MLO licensing required.
  • Ability to manage multiple priorities, with strong detail orientation and highly organized.
  • Works with a strong sense of urgency and responsiveness.
  • Passionate about delivering excellence in customer service.
  • Demonstrated patience and professionalism when interacting with both internal and external customers.
  • Proficiency with data entry, PDF software programs, Microsoft Word, and Excel required.
  • Strong verbal and written communication skills. Basic math skills.
  • Ethical, with a commitment to company values.
