Key Responsibilities:

  • Document Preparation: Create, edit, format, and proofread documents to ensure accuracy and compliance with firm guidelines.
  • E-Filing and PACER Management: Prepare legal documents for e-Filing and filing via PACER, ensuring timely and efficient submission.
  • Client Matter Management: Prepare new client matter request packets, coordinate approval, and prepare retainer letters.
  • Billing and Invoicing: Review proformas and edit bills according to client billing arrangements.
  • Client Data Management: Enter, track, and coordinate new client/matter information.
  • File Maintenance: Maintain electronic and paper files in accordance with firm guidelines.
  • Calendar Management: Maintain and monitor attorney calendars.
  • Travel Coordination: Coordinate and/or book travel arrangements as needed.

Requirements:

  • Experience: Minimum of 3+ years of legal secretarial or assistant experience.
  • Litigation Experience: Proven experience in a litigation environment.
  • Education: Associate's degree preferred; Notary Public is a plus.
  • Professional Services Experience: Experience in a professional services environment preferred.
  • Communication Skills: Ability to draft correspondence and communicate effectively with attorneys and clients.
