Position Summary: This role involves managing quotes, purchase orders, documentation, project plans, reports, deliverables, and vendor relationships.

Key Responsibilities:

  • Quote Management: Collect project manager quotes and input them along with project budgets into our system.
  • Project Setup: Enter purchase order details and update budget information. Collaborate with project managers to coordinate resources and update the system accordingly.
  • Purchase Order Creation: Generate purchase orders for distribution vendors and subcontractors as necessary. Monitor material status with vendors and keep project managers informed about delivery timelines. Confirm receipt of materials and manage entries in our system.
  • Vendor Integration: Collaborate with the Supply Chain team to onboard new vendors, customers, and contractors, overseeing the entire process from initiation to completion.
  • System Management: Focus on active projects, quotes, and requests for updates from project managers to accurately adjust timelines and budgets. Add change orders for ongoing projects.
  • Reporting: Conduct financial reporting and project tracking as needed.

Qualifications & Skills:

  • Proficient in material ordering and tracking.
  • Excellent written and verbal communication abilities.
  • Strong interpersonal skills and a solid work ethic.
  • Detail-oriented with strong analytical skills, capable of managing multiple complex tasks.
  • Exceptional proficiency in Microsoft Office, particularly Excel, Word, and Outlook. Experience with our system is a plus.
