KEY RESPONSIBILITIES...

This role entails overseeing all facets of facility management and project coordination for Newport Mental Health, which operates multiple office locations throughout Newport County. The incumbent will manage building renovations, ensure the safety, cleanliness, and operational efficiency of all facilities, and collaborate with both internal and external stakeholders to support the organization's mission of delivering high-quality mental health services to the community. This position demands exceptional communication skills and the ability to lead a team in a fast-paced environment. The ideal candidate will have a robust background in construction project management and a proven track record of providing effective leadership, outstanding customer service, and sound judgment. The Facilities and Project Manager should excel in escalating issues as necessary and adeptly prioritize projects to ensure seamless execution.

Core Responsibilities:

  • Manage and oversee construction projects from start to finish, ensuring compliance with timelines, budgets, and quality benchmarks.
  • Coordinate with contractors and vendors to ensure smooth project execution, acting as a liaison among various stakeholders.
  • Supervise renovations, building expansions, and infrastructure enhancements within the NMH property portfolio.
  • Negotiate contracts, assess vendor performance, and ensure adherence to project specifications.
  • Supervise all agency facilities personnel.
  • Ensure compliance with operational standards for building maintenance, including oversight of external cleaning service providers.
  • Maintain and monitor all safety systems, including alarms and access management.
  • Design, coordinate, conduct, and report on disaster drills for each site, including fire drills.
  • Ensure compliance with safety signage and regulations, prioritizing the safety of all personnel.
  • Review and update policies on Life Safety, Environmental, and Emergency Preparedness in collaboration with the Quality Improvement Department to meet regulatory requirements.
  • Manage access to all buildings and medication storage, ensuring secure protocols are followed.
  • Participate in and document meetings for the Incident Command Response team.
  • Maintain the facilities work request ticket system and ensure timely resolution of all requests.
  • Oversee agency vehicle maintenance, insurance, and registration.
  • Organize and coordinate office relocations, managing logistics and resources as necessary.
  • Assist in the execution of Facility Master Plans, contributing to the strategic development of facility infrastructure.
  • Document minutes and track action items for Facilities and Safety meetings.
  • Inventory and manage agency cleaning supplies.
  • Collaborate with the Chief Financial and Administrative Officer to annually review insurance and risk management programs, ensuring comprehensive coverage and risk mitigation strategies.

QUALIFICATIONS...

  • Bachelor's Degree preferred.
  • Prior experience in construction project management preferred.
  • Agile Certification (PMI-ACP, ICP, CSM, PSM) preferred.
  • Experience with lean six sigma or agile methodologies.
  • High degree of interpersonal skills to effectively interact with personnel at all levels.
  • Strong oral and written communication skills.
  • Self-motivated with a willingness to learn and adapt to change.
  • Ability to work independently with minimal supervision.
  • Ability to safely lift and carry up to 50 pounds.
  • Valid Driver's License and reliable transportation for travel between locations.
  • Minimum of 5 years of experience in facilities management, safety, and security.
  • Vendor management experience preferred.
