Job Summary

The External Program Lead plays a critical role in the day-to-day management and support of external rentals, programs, conferences, and summer camps at Babson College. This position serves as the primary point of contact and on-site event manager for external rentals and programs, delivering exceptional customer service and ensuring the smooth execution of events.

Key Responsibilities
  • Assist the Coordinator and Associate Director, Business Development with work schedules, assignments to programs and rentals, and day-to-day activities associated with external programming and safety and security plans.
  • Serve as the primary contact during assigned external rentals and events, providing instruction and oversight directly to clients and resolving any issues that may arise.
  • Act as a key holder for various buildings and facilities as needed, ensuring proper access to indoor and outdoor areas by clients, groups, and spectators/family members of event participants.
  • Responsible for ensuring spaces are set up as needed and in alignment with client requests, including setup and breakdown of Athletics facility equipment, tables/chairs/tents, etc.
  • Maintain effective working relationships with the campus community to support programs, especially Residential Life, Facilities, Chartwells, and Public Safety.
  • Assist with the daily operation of camps, programs, and conferences across the Babson campus as directed.
  • Deliver exceptional customer service to external rental groups.
  • Assume additional responsibilities as required.
Requirements
  • Associate's Degree in a related field and at least 1-3 years of experience.
  • Hepatitis B vaccination and training in compliance with OSHA regulations; must maintain both throughout time in the position.
  • Experience with registration systems necessary.
  • Excellent communication and customer service skills.
  • Strong computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Ability to work with ethnically, culturally, and socially diverse students, staff, faculty, and other constituencies.
  • Envisions and proposes new methods to perform tasks that support ET&A; takes thoughtful risks; and accepts new and ongoing initiatives, objectives, and solutions to gain sought-after results.
  • Anticipates and embraces change; demonstrates willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions.
Working Conditions
  • Must be able to work under all weather conditions.
  • Must be able to work early mornings, evenings, and weekends.
  • Must have had a valid unrestricted U.S. Driver's License for one year, and maintain throughout employment an insurable (as determined by the College's insurer's criteria) or a satisfactory driving record; must successfully complete and pass the College's vehicle training program within the first 60 days of employment; annual or more frequent review of employee's driving record based on the College insurer's criteria; and safety training as required by management.
