Front Office Representative

The role of the Patient Access Coordinator II is essential to our front office operations.

This position allows you to build upon your established customer service and medical technology skills, positioning you as the expert liaison for patient and clinic relations.

This role primarily emphasizes delivering exceptional customer service, verifying insurance, managing referrals, and in some practices, orienting new Patient Access Coordinators to ensure their success.


Responsibilities:


Guide patients through the registration process by verifying patient demographics and insurance information to ensure accuracy for payment processing and billing.

Assist new employees with registration workflows. Follow established protocols for collecting and posting co-pays, processing payments, and reviewing records for bad debt. Adhere to the No Surprise Act.

Maintain an accurate cash drawer, prepare daily deposits, and follow practice closing processes.


Adhere to scheduling guidelines for single or multiple clinics, as well as for return, referral, and testing appointments. Assist new employees with appointment scheduling.

Follow office procedures for handling incoming calls, messages, voicemails, and emails, coordinating follow-up as necessary.

Manage referrals and obtain pre-certification as needed, notifying the pre-certification coordinator for follow-up.

Create a positive guest experience by adhering to service protocols and de-escalating situations when necessary.

Train new employees on general clerical support tasks such as paperwork, medical records, faxes, scans, filing, and typing.

Ensure new patient information is delivered promptly. Mail new patient packets and contact new patients the day before their scheduled appointments. Adhere to the no-show policy, sending letters and documenting no-shows in a timely manner.

Perform other duties as reasonably required or assigned.

High School Diploma or equivalent

Preferred:
Graduate of a certified medical office training course

EXPERIENCE:

Required: 1 Year clerical experience in a medical setting. Proficient in EPIC Cadence/Prelude. Customer service experience in a healthcare environment.
