The Event Supervisor plays a vital role in this process.
Key Responsibilities
- Engage with the event producer to clarify all event specifics and special requirements prior to the occasion.
- Arrive punctually at Harvest Moon Catering to verify all packing items, liaise with the event chef, ensure all necessary supplies are loaded onto the designated event vehicle, and transport HMC vehicles to the event location.
- Oversee the check-in process for all Front of House (FOH) staff as they arrive at the venue, ensuring that staff assignments are clearly displayed for visibility.
- Monitor all aspects of event execution to guarantee that service staff are fulfilling their assigned roles effectively.
- Communicate all event details to the service team by conducting a pre-event meeting covering menu items, kitchen timing, and specific responsibilities throughout the event.
- Ensure that all service personnel maintain a professional appearance, including appropriate uniforms and grooming standards.
- Maintain close communication with planners and vendors to ensure all requirements are met.
- Ensure adherence to all timelines throughout the event.
- Supervise the proper dismantling of the dining area, ensuring that all equipment is utilized correctly and stored appropriately.
- Optimize staff utilization and manage labor effectively, ensuring all areas are cleaned and venue regulations are adhered to. The Supervisor must conduct a final walkthrough with the venue representative before leaving.
- Participate in site visits for planning purposes as required.
- Verify that the bar supervisor has accurately completed the liquor inventory form. Finalize relevant event documentation and submit it to the appropriate office at the end of each shift.
- Attend scheduled meetings and training sessions.
- Provide on-site training as well as in-field coaching.
- Perform other relevant tasks as assigned by management.
- 1-3 years of experience in Front of House management preferred.
- Strong knowledge of service standards and fine dining practices.
- Must be at least 21 years old with a clean driving record.
- Familiarity with the sequence of service and off-premise events.
- Ability to engage with diverse groups and foster a collaborative work environment.
- Exceptional leadership skills and the capability to manage multiple staff members.
- Dependable and responsible in all aspects of work.
- Able to thrive under pressure in a fast-paced setting.
- Excellent interpersonal communication abilities.
- Strong time management skills.
- Physically fit with stamina for tasks such as moving and lifting furniture and standing for extended periods.
- Willingness to work long hours, irregular shifts, and during weekends and holidays.
