Accounts Payable Associate Job Description

Covia Energy, a leading provider of proppant to the oil and gas industry, is seeking an experienced Accounts Payable Associate to join our team. Based in The Woodlands, TX, this role will play a crucial part in supporting the accounts payable function as we transition to a standalone company.

Key Responsibilities:
  • Invoice Processing: Accurately process and code vendor invoices, ensuring proper documentation and authorization.
  • Payment Management: Prepare and process electronic transfers and payments, including checks, ACH, and wire transfers.
  • Vendor Relations: Maintain positive relationships with vendors, resolving any discrepancies or issues in a timely and professional manner.
  • Reconciliation: Perform monthly reconciliations of accounts payable transactions and resolve any discrepancies.
  • Expense Reports: Review and process employee expense reports, ensuring compliance with company policies.
  • Month-End Closing: Assist in the month-end closing process, including the preparation of accounts payable reports and reconciliations.
  • Data Entry: Maintain accurate and up-to-date records in the accounting system, ensuring all transactions are recorded timely and accurately.
  • Internal Controls: Assist in implementing and maintaining internal controls to safeguard assets and ensure the integrity of financial records.
  • Compliance: Ensure compliance with company policies, accounting standards, and regulatory requirements.
  • Financial Analysis: Support the analysis of accounts payable data to identify trends, discrepancies, and areas for improvement.
  • Documentation: Maintain organized and complete documentation for all accounts payable activities and transactions.
  • Team Support: Work closely with the Accounting Manager and other team members to support overall departmental goals.
Minimum Qualifications:
  • High school diploma or GED required, Associate's degree preferred.
  • 1 - 3 years of accounts payable or related accounting experience, preferably in the oil and gas industry.
  • Excellent organizational and time management skills.
  • Strong written and oral communication skills.
  • High attention to detail and accuracy.
  • Strong problem-solving skills and ability to resolve discrepancies efficiently.
