Job Title: Sales Coordinator

Job Summary:

The Sales Coordinator is a vital role at the Springdale Holiday Inn, responsible for providing administrative support to the sales and event management teams. This position requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Provide administrative support to the sales and event management teams, including greeting visitors, answering phone calls, and processing incoming lead information.
  • Interact with group, catering, and business travel customers to qualify and assist existing and future customers, including making reservations and providing status updates.
  • Maintain communication with group customers regarding room block status, including entering rooming lists, monitoring pick-up status, and reporting status of current pick-up.
  • Assist property managers with sales duties, including initial billing inquiries, commission payments, no-show status, sales system research, brand reward point administration, and scheduling appointments.
  • Assist with RFP responses, proposals, contracts, BEOs, and meeting arrangements as needed.
  • Send local Convention and Visitors Bureau (CVB) requests for proposals (RFPs) received by the hotel to the Hotel's assigned Lead Analyst for distribution.
  • Assist Catering & Events Manager with reservation requests and building group master accounts in the brand system.
  • Upload and maintain group files within the sales system for all group bookings at the property level.
  • Maintain inventory and create printed and electronic collateral, including coupons, flyers, and branded sales and marketing pieces.
  • Manage social media accounts for the hotel, including responding to comments and reviews.
  • Participate in Sales Department meetings and provide additional administrative assistance as directed.

Requirements:

  • Minimum one (1) year of experience in customer service or clerical experience.
  • Prior hotel sales office experience, particularly working in a fast-paced environment, is preferred.
  • High School diploma or equivalent is required; a Bachelor's degree in Business Administration, Marketing, Hotel and Restaurant Management, or related major is preferred.
  • Proficient in Microsoft Office and experience with Sales System (Delphi.fdc or CI/TY) and the brand's PMS (OnQ, Opera, etc.) is preferred.
  • Less than 5% travel requirement; must possess a valid driver's license and reliable transportation.
