Position Summary: We are seeking a dedicated Front Desk Coordinator to facilitate our operations. The Front Desk Coordinator will be tasked with the following responsibilities:

  • Welcoming patients; updating personal and insurance details, obtaining necessary signatures, and scheduling follow-up appointments.
  • Managing phone calls and coordinating appointments through our computer system. Ensuring the maintenance of scheduling and promptly relaying messages to physicians.
  • Verifying patient eligibility, securing authorizations, processing referrals, and managing drug inventory.
  • Handling cash transactions and performing end-of-day financial reconciliations, including collecting copays and outstanding balances.
  • Conducting patient recalls.
  • Sorting incoming mail and faxes.
  • Assisting with patient preparation, including rinsing and numbing as required.

Additional Duties: Other responsibilities may be assigned by the Clinical Operations Manager or physicians.

Accountability: Ensuring patient satisfaction through professional and courteous service.

Required Skills:

  • Exceptional patient interaction skills.
  • Capability to manage multiple tasks efficiently.
  • Strong communication abilities.

Experience:

  • No prior experience is required.

Preferred Experience:

  • At least one year of experience in a medical office or front desk role.

Educational Background:

  • A minimum of a high school diploma is required. A college degree or relevant continuing education is preferred.

Physical Requirements:

  • Must be able to remain stationary for at least 50% of the scheduled shift, frequently move around the office to assist patients, access supplies, and lift up to 50 pounds. Effective communication with patients to relay necessary medical and financial information is essential, along with accurate documentation in the EMR and practice management system.

Travel Requirements:

  • Regular travel to multiple assigned clinic locations may be necessary, with occasional travel to other locations as needed.

Equipment Utilization:

  • This position requires the use of telephones and office equipment, including computers, copiers, faxes, and scanners, as well as medical equipment such as pharmaceutical refrigerators.

Unique Position Conditions:

  • OSHA Classification Category II. While job duties do not include exposure to blood or bodily fluids, there may be instances requiring unplanned Category I tasks.
