Position Summary:

The University of Northern Colorado is in search of a highly efficient, personable, and innovative individual to oversee and coordinate events organized by the university president.

The Director of Presidential Events plays a pivotal role in supporting a prominent and actively engaged president, contributing significantly to the effective realization of the president's vision and objectives.

This role involves providing leadership, professional insight, and guidance in the planning and execution of exceptional functions that cater to students, faculty, staff, trustees, community members, and distinguished guests.

Responsibilities encompass university-wide events, town halls, receptions, meetings, and informal gatherings, which are held at various venues, including the president's residence.

The director will collaborate closely with the chief of staff, the president's office team, and all major university divisions, including University Advancement and the division's director of university events.

The ideal candidate will demonstrate a strong sense of self-awareness, exceptional organizational and time management skills, and outstanding communication abilities.

Success in this role requires the capacity to manage multiple projects and events at various stages of development and execution.

The successful candidate will also be team-oriented, dedicated to a high standard of hospitality, and possess tact, diplomacy, and discretion in high-pressure situations.


Job Duties:


60% Event Management - Oversee a portfolio of high-profile presidential events, ensuring adherence to hospitality standards while advancing the strategic priorities of the president and the university.


  • Manage all logistical aspects of planning and executing events hosted by the university president, including venue selection, catering, and coordination of gatherings with on- and off-campus stakeholders.
  • Collaborate with university staff to establish and maintain protocols that ensure the highest quality for presidential and university-wide events.
  • Act as the project manager for assigned events, overseeing venue selection, guest communication, registration, vendor agreements, budgets, programming, technology, hospitality, and decor.
  • Maintain accurate records of events and constituents, including pre- and post-event communications.
  • Ensure compliance with university, state, and foundation accounting and purchasing policies for all assigned events.
  • Coordinate support across various administrative units to facilitate event delivery.
  • Work closely with the president's executive assistant to ensure the accuracy of the president's calendar.
20% Communication and Marketing - Develop and implement event communication and marketing strategies.

  • Support the president's participation in events by drafting scripts and preparing briefing materials.
  • Execute brand-compliant marketing plans for events.
  • Create content for various platforms, including social media and digital channels, to promote presidential activities.
  • Manage the annual calendar of presidential events and advise on communication strategies for internal and external stakeholders.
10% University Event Support

  • Collaborate with University Events colleagues in Alumni and Community Relations.
  • Assist with university commencement ceremonies and other significant events.
10% Presidential Initiatives

  • Support additional initiatives and events as assigned by the Office of the President.

Minimum Qualifications:
Education:
Bachelor's degree in a relevant field (e.g., business, hospitality, communications, marketing, public relations, etc.) or equivalent professional experience.

Experience:

Minimum of 5 years of experience in event planning and management, with a strong understanding of hospitality and communication techniques.



Ability:
  • Ability to prioritize tasks and work independently, anticipating the needs of special events.
  • Outstanding organizational and project management skills, capable of managing large, time-sensitive projects.
  • Ability to effectively organize work across multiple projects and exercise independent judgment.
  • Highly developed interpersonal skills and the ability to maintain positive relationships with diverse stakeholders.
  • Ability to maintain professionalism and composure under pressure.
  • Excellent judgment, integrity, and tact.

Special Considerations:
  • Willingness to work evenings and weekends as needed.
