Job Title: HR Administrative Assistant

The estimated annual salary for this position is $45,000 - $55,000.

Job Description:
We're seeking an administrative professional to provide exceptional customer service to residents, guests, and team members at our property site. As an HR Administrative Assistant, you'll be responsible for supporting the Community and/or Services Maintenance Manager with various tasks, handling multiple responsibilities efficiently, and ensuring compliance with regulatory requirements.

Essential Functions:
* Answer or return calls promptly with high-level customer service
* Schedule appointments and conduct in-person visits as needed
* Listen to resident requests, concerns, and comments, refer them as appropriate
* Develop relationships with residents to understand their needs and aspirations
* Initiate Maintenance Service Requests promptly and follow up with residents
* Greet prospective tenants and show the property features
* Process applications for approval and follow up with applicants
* Conduct service inspections to ensure apartments are in move-in condition
* Facilitate community engagement activities with residents
* Manage rental payment process
* Prepare recertification and lease renewals
* General clerical duties: photocopying, faxing, mailing, and filing
* Track and ensure timely delivery of resident notices
* Coordinate and maintain records for staff office, phones, parking, and office keys
* Code and process invoices and research discrepancies as needed

Knowledge, Skills, and Abilities:
* Excellent customer service and verbal/written communication (English and Spanish) skills
* Ability to type at least 35 wpm
* Demonstrated ability to learn and operate office systems including telephone, copier, and computer systems
* Proficiency with Microsoft Office including Word, Excel, and MS Outlook

Requirements:
* Bilingual in English and Spanish required
* High school graduate or GED equivalent
* Customer service/administrative experience in Property/Hotel/Retail/Sales
* 1+ year experience and proficiency in Microsoft Office industry software such as Yardi a plus
