Job Description

The Administrative Assistant provides high-level administrative support to the Market Access Vice President and Market Access team. This role involves scheduling travel and meetings, preparing correspondence and meeting materials, preparing reports, supporting expense reporting and budgeting processes, creating efficiencies, and handling information requests while maintaining confidentiality.

Responsibilities
  • Schedule and manage travel, logistics, and general meeting planning for medical conferences, field meetings, and payer/provider meetings.
  • Gather data and track progress to established quarterly goals as outlined by the Market Access Vice President, utilizing tools such as Power BI.
  • Respond to regularly occurring requests for information.
  • Act as a liaison with other internal departments and outside agencies as needed.
  • Manage calendars for leadership, including scheduling appointments and meetings across time zones.
  • May be required to access, input, and/or maintain data.
  • Provides daily support to the market access management team as requested.
  • Coordinate domestic and international travel arrangements; execute expense reports as per policy and procedures.
  • Assist in managing and reconciling expense reports and support budgeting process by tracking expenditures.
  • Facilitate the contracting process by coordinating between vendors and the legal team.
  • Planning and execution of meetings and events for market access.
  • Prepare and edit presentation materials for business meetings as requested.
  • Ensure confidentiality of all documents, messages, and telephone calls according to established processes, procedures, and policies.
  • Complete special projects as assigned.
  • Perform other administrative duties as required.
Requirements

To succeed in this role, you will need:

  • A high school diploma or equivalent.
  • 3-5 years of administrative experience.
  • Preferred 3-5 years of administrative experience supporting medical technology.
  • Experience with travel booking and event coordination.
  • Excellent written and verbal communication skills, including the ability to write clearly and effectively to present ideas and document activities.
  • Strong attention to detail.
  • Proficiency in all Microsoft Office Suite programs, including Outlook, PowerPoint, Excel, and Word.
  • Ability and desire to learn and creatively solve problems.
Salary and Benefits

We offer a competitive salary range of $60,000 - $80,000 per year, depending on experience.
