Position Summary:

The Student Ministry Administrator plays a crucial role in supporting the mission of Southwest Church by providing essential administrative assistance within the Student Ministry Department. This position collaborates closely with fellow team members and assists the Student Ministry Directors/Pastors in executing the responsibilities assigned to the department.

Core Responsibilities:

  • Act as the primary point of contact for inquiries related to Student Ministries, managing phone calls, walk-ins, and email communications.
  • Offer administrative support for various events and camps, including overseeing registrations and managing scholarship tracking.
  • Maintain accurate records in the church database for students and volunteers.
  • Recruit, train, and mentor volunteers to aid in departmental administration.
  • Manage the annual calendar for the Student Ministry Department, ensuring alignment with church-wide planning and resource allocation.
  • Collaborate with ministry leaders to onboard new volunteers, ensuring compliance with necessary background checks and clearances.
  • Oversee the inventory of office supplies for the Student Ministry department.
  • Assist with the reconciliation of monthly church credit card and petty cash transactions for the department.
  • Perform additional duties as required.

Qualifications:

  • Minimum of 2 years of relevant experience in a ministry context is preferred.
  • Ability to meet deadlines while managing multiple projects effectively.
  • Strong communication skills and proficiency in computer applications.
  • Self-motivated, innovative problem solver, and a collaborative team player.
  • Ability to work in partnership with other departments to support the church's mission.
  • Understanding of confidentiality and the proper handling of personal information.
  • Familiarity with software applications such as Word, Excel, and PowerPoint.
  • Physical Requirements: This role involves prolonged periods of sitting and repetitive motions, with occasional lifting or moving of up to 20 lbs, as well as standing or walking.
