Client Support Specialist

Key Responsibilities:

Customer Interaction:

  • Serving as the primary contact for clients, proficient in one or two foreign languages
  • Sustaining communication with clients and service partners
  • Sharing operational details with clients and relevant team members or departments
  • Attending to client inquiries, preferences, and requirements while enhancing the operational relationship
  • Addressing complaints and escalating them to management when necessary
  • Providing updates to clients regarding their complaints after consulting with the supervisor

Order and Data Management:

  • Overseeing and tracking the status of operational tasks using the automated system
  • Accepting and managing orders administratively, including drafting, processing, or verifying documents as per established guidelines
  • Handling incoming and outgoing products and return shipments within an automated framework
  • Keeping product, location, and master data current in the automated information system
  • Performing additional tasks as assigned
  • Generating and dispatching invoices and credit notes

Administrative Oversight:

  • Verifying, entering, and updating client information utilizing the information system

Project Contributions:

  • Proposing improvements to management

Reporting Duties:

  • Assisting in reporting and informing clients about results achieved in relation to KPIs and SLAs, both periodically and on an ad hoc basis

Compliance with Standards:

  • Ensuring adherence to quality and ISO standards according to established procedures and guidelines

Qualifications:

  • High school diploma or equivalent
  • Familiarity with logistical administrative procedures
  • Experience with quality assurance processes

Skills and Competencies:

  • Customer-focused
  • Detail-oriented
  • Proficient in English (both spoken and written), with an additional language preferred
  • Strong interpersonal and communication abilities (both spoken and written)
  • Familiarity with automated information systems is advantageous
  • Proficiency in MS Office is preferred
