Position Overview:
Under general supervision, the Grants Administrative Specialist is responsible for providing comprehensive administrative, financial, and operational support related to pre- and post-award activities for sponsored research projects, including federal and foundation grants, as well as industrial contracts.
Key Responsibilities:
1. Coordinate operational and programmatic support for various research and educational initiatives.
2. Provide administrative assistance with grant transactions, including reviewing and approving purchases, reconciling accounts, processing payment requests, and preparing expenditure correction requests.
3. Edit and suggest modifications to administrative documents and program requirements.
4. Oversee the administration and submission of research grant and contract applications.
5. Assist in developing and implementing budgeting processes related to general and project-specific funding.
6. Supervise support staff and delegate tasks as necessary.
7. Ensure compliance with all regulatory requirements for programs.
8. Manage procurement activities for goods, services, and equipment, as well as disbursement and reimbursement processes.
9. Maintain an inventory of supplies and equipment, ordering as authorized or escalating needs appropriately.
10. Organize calendars, schedule appointments, and coordinate meetings, prioritizing requests and making necessary arrangements.
11. Assist faculty in identifying new funding opportunities.
Qualifications:
- Bachelor's Degree required; Master's Degree preferred.
- Approximately 3 years of relevant experience, ideally within the medical research sector.
- Strong knowledge and understanding of research grants is highly desirable.
Skills and Abilities:
- Excellent communication skills, both written and verbal, with a focus on facilitating information flow.
- Demonstrated integrity and ethical conduct in all professional interactions.
- Ability to connect individual and departmental goals with the overall mission of the organization.
- Team-oriented mindset with a capacity to foster positive workplace relationships.
Working Conditions:
- Standard office environment with hybrid work options available (up to 50%).
