Job Summary

We are seeking a highly skilled and detail-oriented Ambulatory Clinic Coordinator to join our team at Keck Medicine of USC. As a key member of our Ambulatory Care Services Float Team, you will play a critical role in ensuring smooth outpatient flow and optimum patient satisfaction.

Key Responsibilities
  • Clinic Operations
    • Coordinate multiple appointments with various clinical services, ensuring efficient scheduling and timely patient flow.
    • Manage clinic schedules, anticipating requirements and changes to create a well-managed operational flow and positive patient experience.
    • Coordinate scheduling of diagnostic testing, including sending letters of medical necessity.
    • Assist with clerical and scheduling needs, including filing and collection of supporting documentation for billing.
  • Patient Customer Service
    • Provide exceptional customer service, utilizing courtesy, compassion, kindness, and honesty while interacting with patients, caregivers, and clinic personnel.
    • Act as a single point of contact for patients and caregivers, taking accountability for their patient experience.
    • Provide information and guidance to patients and caregivers regarding scheduling, paperwork, and follow-up appointments.
    • Work independently under limited supervision, taking initiative and dealing effectively with constant change.
  • Clinical Support
    • Prepare patients for examinations, obtaining and recording vital signs.
    • Assist physicians with exams and procedures.
    • Ensure that physician orders for medications and treatments are implemented by the appropriate staff.
    • Record patient information in charts and electronic health records.
  • Teamwork and Collaboration
    • Demonstrate flexibility in covering other staff members for sick time, vacation, or leave of absence.
    • Work effectively in a team setting, maintaining open communication with management and other staff.
    • Stay up-to-date with changes within the USC healthcare system.
Requirements
  • High school diploma or equivalent.
  • Equivalent work experience in customer service and/or medical office.
  • Proven record of dealing with the public in a customer service role.
  • Familiarity with word processing, Microsoft Outlook, GE Centricity Business, Cerner, PBAR, scheduling systems, and navigating the intranet.
  • Excellent communication skills, including the ability to speak, read, and write English proficiently.
Preferred Qualifications
  • Bachelor's degree in a related field.
  • 2 years of experience in an acute care, ambulatory care, or surgical center setting.
  • Knowledge of medical terminology.
  • Proven knowledge of insurance billing, admitting, or registration experience in a hospital or medical office.
