Role Summary

The Client Relations Specialist plays a crucial role in delivering outstanding service to clients. This position is responsible for enhancing the client experience by managing service requests via phone and email, generating necessary documentation, scheduling appointments, recording client interactions, and supporting the financial advisory and operations teams. The Specialist serves as the primary liaison between clients and the organization outside of scheduled financial consultations.

Key Responsibilities:

  • Facilitate the onboarding of new client accounts, which includes gathering client information, processing transactions and transfers, and preparing relevant documentation for service requests.
  • Manage Client Relationships - assist Advisors in strengthening both new and existing client connections through proactive communication, resolving inquiries, and maintaining essential information and documentation.
  • Execute administrative tasks that support daily operations, including telephone coverage, maintaining client electronic files, and utilizing CRM and other technological tools to coordinate client meetings and activities.
  • Adhere to all industry regulations and company policies, consistently upholding high standards of business ethics and legal compliance in all interactions and work activities.

Required Qualifications:

  • Bachelor's Degree and a minimum of 3 years of relevant experience in the financial planning sector (mandatory).
  • Proficient in Microsoft Office Suite and Adobe Acrobat.
  • Experience in the financial services sector, particularly in operations or as a sales assistant.
  • Familiarity with customer relationship management (CRM) software (3+ years).
  • Experience with electronic signature platforms such as DocuSign.
