We are seeking a skilled Conventions and Events Manager to join our team at Patrice & Associates in S Kennedy. As a key member of our events team, you will be responsible for coordinating and executing various events, ensuring seamless execution and exceeding client expectations.

Job Description

Key Responsibilities:

  • Respond promptly to internal and external clients, providing exceptional service and support.

  • BUILD AND MAINTAIN STRONG RELATIONSHIPS WITH CLIENTS, establishing trust and loyalty through consistent communication and follow-up.

  • PROMOTE A POSITIVE AND PROFESSIONAL PRESENCE AT ALL TIMES, representing our company with integrity and enthusiasm.

  • DESIGN AND SELL EVENTS THAT MEET CLIENT NEEDS WHILE GENERATING REVENUE AND MAINTAINING PROFIT MARGINS.

  • ENSURE THE RESORT'S ASSETS ARE PROTECTED BY MAXIMIZING REVENUES, OPTIMIZING INVENTORY, AND PROTECTING PHYSICAL PROPERTY.

  • ASSIST WITH SALES SITE INSPECTIONS AND CONDUCT PLANNING SITES AS REQUIRED.

  • Maintain accurate information and revenues in Amadeus, ensuring accurate forecasting.

  • Introduce key operations personnel to clients or on-site contacts.

  • FOLLOW-UP WITH CLIENTS AFTER FUNCTIONS TO ENSURE CUSTOMER SATISFACTION, ADDRESS CHALLENGES, AND SOLICIT REBOOKING.

  • FOLLOW-UP WITH EVENT INVOLVED DEPARTMENTS AND COMMUNICATE ANY NECESSARY FEEDBACK.

  • FORECAST GROUP ROOMS WITH ASSIGNED GRC ACCURATELY.

  • Mentor Group Housing Coordinators to develop leadership skills and positive customer interactions.

  • Mentor assigned Assistants to develop leadership skills and positive customer interactions.

  • COLLECT ALL DEPOSITS ACCORDING TO CONTRACTUAL TERMS AND WORK WITH BILLING TO ENSURE ALL MONIES ARE COLLECTED IN ADVANCE OR AS DEFINED BY THE CONTRACT.

  • CONTINUOUSLY FOLLOW UP TO GATHER ALL PERTINENT INFORMATION FROM CLIENTS.

  • INTERFACE WITH OUTSIDE VENDORS AS NEEDED.

  • PREPARE EVENT ORDERS, SET-UP DIAGRAMS, GROUP RESUMES, AND OTHER INFORMATIONAL FORMS ACCURATELY AND TIMELY.

  • COORDINATE WITH INTERNAL DEPARTMENTS TO MEET GROUP NEEDS.

  • COMMUNICATE WITH SALES, FRONT OFFICE, AND RESERVATIONS TO COORDINATE GUEST ROOM BLOCKS AND SPECIAL RESERVATION NEEDS.

  • ESTABLISH RAPPORT WITH MEETING PLANNERS WHILE PROMOTING HOTEL FACILITIES AND SERVICES.

  • PLAN AND CONDUCT PRE AND POST-CONVENTION MEETINGS WITH CLIENTS AND RESPECTIVE DEPARTMENTS.

  • OTHER TASKS AS ASSIGNED BY DIRECTOR OF EVENT MANAGEMENT, ASSISTANT DIRECTOR OF EVENT MANAGEMENT, DIRECTOR OF SALES & MARKETING, AND/OR GENERAL MANAGER.

Requirements
  • Minimum 2 years in event planning, preferably in hotel or resort setting.
  • Strong project managing skills.
  • Deadline and detail-oriented.
  • Ability to work well in teams.
Estimated Salary

$60,000 - $80,000 per year, depending on experience and qualifications.
