Kaleidoscope ABA Therapy Services is seeking a highly skilled and organized Operations Manager to join our team. As an integral part of our organization, this role will be responsible for supporting our Center in Somers Point, NJ, and leading the administrative side of our clinical operation.
Key Responsibilities- Manage day-to-day operations, including recruitment, scheduling, customer service, and reporting.
- Develop and maintain accurate records related to staffing and service delivery for each case.
- Assist in creating, maintaining, and managing a master schedule to ensure adequate staffing for clinical cases.
- Support HR, Operations, and Clinical departments, acting as a reliable source of information for staff, clients, peers, and management.
- Serve as a liaison between administrative and clinical staff, and act as the primary point of contact for case assignment and staff availability.
- Bachelor's Degree or equivalent work experience.
- 1-2 years of medical, dental, therapy, or PT office administration or scheduling experience.
- 3-5 years of experience preferred.
- Prior Practice Managers are encouraged to apply.
- Strong rapport-building skills, especially on the phone.
- Sense of urgency.
- Ability to work independently towards assigned goals.
- Excellent time management and organization skills.
- Ability to manage multiple tasks, prioritize tasks, and meet deadlines.
- Attention to detail.
- Ability to administer processes across the company consistently.
- Superb communication skills.
- Able to work collaboratively with ABA personnel.
- Ability to listen and communicate well with management, staff, and families/clients.
