Role Summary:

The Executive Assistant role is designed to provide comprehensive administrative support to high-level executives. The ideal candidate will exhibit exceptional organizational skills and possess a proven track record in managing competing priorities with professionalism and urgency. This position demands meticulous attention to detail, outstanding communication abilities, and the capacity to juggle multiple responsibilities in a dynamic environment.

This role encompasses the management of executive calendars, serving as a gatekeeper to optimize the executive's time. The Executive Assistant will regularly interact with personnel across all organizational levels and engage with key external stakeholders.

Key Responsibilities Include:
  • Calendar Oversight: Execute precise calendar management, including scheduling meetings, coordinating recurring events, and liaising with various parties to arrange large-scale internal and external meetings.
  • Travel Coordination: Organize complex domestic and international travel for the executive, encompassing flights, ground transportation, accommodations, and visa procurement as necessary, while adhering to company travel policies and preparing relevant documentation.
  • Expense Management: Timely preparation, submission, and tracking of expense reports.
  • Internal Communication Coordination: Facilitate the executive's communications with staff, including organizing Leadership Department meetings and other communications.
  • Meeting Preparation: Collaborate with team members to prepare for upcoming meetings, including drafting and distributing agendas in advance.
  • Catering Arrangements: Order catering for meetings as required.
  • Conference Room Setup: Ensure conference rooms are equipped with necessary audio-visual equipment and facilitate conference calls as needed.
  • Expectation Clarification: Communicate expectations with team members regarding due dates, meetings, and required information, while understanding business priorities and challenges.
  • Local Travel: Be available for occasional local travel and attendance at events and meetings as necessary.
  • Executive Collaboration: Work closely with the executive to stay informed about upcoming commitments and responsibilities, including key decisions, and follow up appropriately.
  • Proactive Problem Solving: Anticipate and address challenges to ensure optimal use of the executive's time.
  • Team Meeting Participation: Attend all team meetings, providing summaries of action items to the executive and team members as requested.
  • Communication Prioritization: Manage incoming communications (mail, email, calls) while anticipating and communicating any required actions or deadlines.
  • Stakeholder Communication: Serve as a liaison for effective communication between the executive and internal/external stakeholders, demonstrating leadership and collegiality.
  • Special Projects: Undertake special projects as assigned.
Education and Skills Requirements:
  • Proven experience as an Executive Assistant at the C-Suite level within a fast-paced corporate environment.
  • A High School Diploma is required; a Bachelor's degree is preferred.
  • Over 10 years of experience as an Executive Assistant.
  • Ability to identify opportunities and obstacles, applying analytical and creative thinking to resolve issues and ensure completion of commitments.
  • Professional confidence and intuition developed through experience in navigating complex situations.
  • Demonstrated capability to manage multiple projects simultaneously, leveraging strong organizational skills and attention to detail.
  • Prior experience in the biotech or pharmaceutical industry is preferred.
  • Experience working with remote and hybrid teams in a matrixed organization.
  • Proficiency in Microsoft Office Suite (Word, Excel, Teams, PowerPoint, and Outlook).
  • Familiarity with teleconferencing tools such as Zoom and Teams.
  • Extensive experience managing complex travel arrangements and planning meetings.
  • Exceptional organizational, time management, and follow-through skills.
  • Ability to resolve calendar conflicts and make decisions regarding the executive's time effectively.
  • Experience interfacing with senior-level external partners, maintaining professionalism and confidentiality.
  • High degree of tact, discretion, and a professional presence.
  • Adaptability to work in a fast-paced, changing corporate environment.
  • Ability to work independently and collaboratively with internal and external stakeholders.
