About the Role

This Administrative Coordinator - Programs and Projects position is responsible for providing administrative and project management support to our Partnerships and Programs team at VALE GROUP. The successful candidate will have experience managing project teams for programs that include multiple projects and a high level of complexity.

Duties and Responsibilities
  1. Act as the focal point for ongoing team project communications and status reports, including managing processes and copy editing for leadership team reports and quarterly board reports.
  2. Maintain an understanding of the key objectives of P+P programs and projects.
  3. Support coordination, collaboration, and communication across team members and initiatives.
  4. Contribute to presentation materials, web content, and other documentation for the P&P group.
  5. May be asked to facilitate internal meetings as needed.
  6. Take on special projects as assigned.
  7. Oversee the execution of open solicitation calls, including the development and dissemination of RFPs, tracking submission deadlines, coordinating peer review panels, including reviewer recruitment, and ensuring timely communication across the team.
  8. Create and oversee work back/project plans for all arts, youth, and communities major projects.
  9. Coordinate and manage collaborations with internal departments such as finance, communications, IT, legal, grants management, and HR.

The ideal candidate will have excellent analytical and interpersonal skills, with the ability to work under tight deadlines, managing multiple priorities in a dynamic and changing environment.
