Position Overview:


The Clinic Operations Supervisor, under the guidance of the Clinic Coordinator and Market Director, is responsible for organizing, executing, and overseeing all front desk operations and staff within the medical office to ensure efficiency.

Acts as a key communicator between healthcare providers, patients, vendors, and external agencies.

Assists in managing all front office functions for the clinic under supervision.

Trains, assigns tasks, and supervises all clerical personnel in the clinic.

Collaborates with clinic staff and other departments to streamline patient care scheduling.

Manages inventory of office and business supplies, including reordering and storage.

Ensures that relevant information is effectively communicated within the office for optimal operations while maintaining confidentiality.

Guarantees timely and accurate customer service is delivered consistently.

Supports the Director and Growth and Outreach department in developing and implementing new initiatives.

Participates in enhancing patient satisfaction through various improvement strategies.

Ensures compliance with company policies and security protocols at all times.


Exhibits outstanding customer service through positive interactions, aligned with the organization's Vision, Mission, and Values.

Addresses customer complaints and specific requests.

Evaluates staff performance and recommends hiring or disciplinary actions as necessary.

Assists the Physicians Service Director and Market Manager in conducting Monthly Staff Meetings and maintaining open communication with clinic personnel.

Ensures timely completion of required in-services and certifications for office staff.

Engages in initiatives aimed at improving provider and staff satisfaction.


Maintains adherence to organizational policies and established practices, protocols, and professional standards relevant to the position.

Acts as an advocate for both patients and staff, ensuring their needs are effectively communicated to the Market Director.

Fulfills various administrative roles within the clinic as necessary to ensure all critical functions are covered.

Encourages a collaborative team environment and takes proactive steps to maintain a safe clinical setting.

Qualifications:

Minimum Education:

High school diploma required.

Required Skills:

a. Proficient in the use of computers, telecommunication devices, copiers, and fax machines.

b. Experience with ECW, Athena, and Meditech or similar Electronic Medical Records systems preferred.

c. Must comply with policies, procedures, and regulations as outlined in the clinic's Policy and Procedure Manual. A high degree of accuracy is essential for job-related tasks.

d.

Experience in healthcare, including knowledge of medical terminology, coding, insurance billing, and general operations of a medical office is required.

Previous experience in medical office management is preferred (3-5 years).
