M.S. Walker's National Sales team is seeking a detail-oriented and customer-centric administrator to serve as a pivotal member of our rapidly expanding division. The Wholesale and Control State Operations Coordinator will report directly to the National Sales Operations Manager and will be responsible for ensuring the precise, efficient, and compliant handling of orders from our distributors and Sales Managers.
Key Responsibilities:
1. Facilitate the setup of new customers, items, and brands.
2. Manage invoicing, shipment tracking, and coordination of sales samples; verify the accuracy of pricing for all orders.
3. Support the wholesale order fulfillment process.
4. Assist in the control state order fulfillment process.
5. Process billbacks, credits, and state tax filings and reports.
6. Aid in maintaining control state compliance.
7. Coordinate Limited Release and Allocated Offers; prepare and format offer sheets.
8. Generate back-order and sales depletion reports.
9. Communicate effectively with sales representatives and portfolio managers regarding product shipments and inventory.
10. Proactively follow up with representatives and customers who have not taken product after 30 days.
11. Provide support for control state commissions.
12. Collaborate daily with Credit, Shipping, Compliance teams, and other internal stakeholders as necessary.
13. Undertake additional projects as assigned.
Qualifications:
1. Minimum of 2 years in an administrative support role with experience in customer service.
2. Strong organizational skills.
3. Excellent communication abilities, particularly via phone and digital platforms such as Microsoft Teams and Zoom.
4. Proficiency in Microsoft Office Suite, especially Excel, including pivot tables.
5. Familiarity with wine and spirits terminology is preferred.
6. Bachelor's degree.
