Position Overview:

The role of IT Project Coordinator is crucial for ensuring the smooth execution of technology projects. This position is based in Quincy, MA and operates in an onsite work mode.

Key Responsibilities:

  1. Oversee the overall coordination and facilitation of project status reporting and health assessments.
  2. Organize and lead initial meetings with business stakeholders to clarify engagement objectives, timelines, roles, and deliverables.
  3. Exhibit strong organizational skills and attention to detail to identify and propose effective solutions.
  4. Track and manage action items, risks, issues, and next steps throughout the project lifecycle.
  5. Foster effective relationships with project team members, senior leadership, and stakeholders.
  6. Document and maintain comprehensive records of project plans, meeting minutes, decisions, schedules, budgets, and other essential documents.
  7. Create visually appealing project reports using graphics and desktop publishing tools, integrating various file types as needed.
  8. Prepare presentation materials, including slides and handouts, for meetings and reports.
  9. Develop templates for reporting and communication to streamline processes.
  10. Coordinate meetings and conference calls for multiple teams, ensuring agendas are set and minutes are documented.
  11. Manage financial aspects, including invoice tracking and budget oversight.
  12. Review and approve system support tickets, maintaining a collaborative relationship with the Help Desk team.
  13. Adhere to established project management methodologies and quality assurance standards.
  14. Maintain the internal Project Repository to ensure all project artifacts are organized, version-controlled, and accessible.

Qualifications:

Ideal candidates will possess a strong background in project coordination within the IT sector, with proficiency in tools such as SharePoint, Jira, and MS Project. A keen understanding of healthcare or legal environments is advantageous.
