Job Summary

We are seeking a highly skilled and experienced IT Project Manager/Project Coordinator to join our team at Mindlance. The successful candidate will be responsible for leading complex administrative duties, managing special projects, and coordinating with internal and external teams.

Key Responsibilities
  • Lead administrative duties requiring a high degree of skill, agility, and decision-making.
  • Manage special projects by establishing clear objectives, determining priorities, and aligning with MMIS standards.
  • Lead the MMIS Helpdesk, manage the CA Uni-Center ticket queue, and maintain internal procedure updates.
  • Maintain good relationships with the Access & Controls and Helpdesk leads to assess and resolve process issues.
  • Partner with the MMIS PMO Lead to manage and process monthly invoices and maintain the MMIS Budget system.
  • Support the MMIS Development arm in managing project intake, ensuring level-of-estimates are submitted, and tracking.
  • Manage all aspects of on/offboarding staff, including procedures and structure for ongoing management and coordination.
  • Manage efforts to institute systems for software licenses, inventory tracking, and reporting.
  • Manage MMIS Director meeting requests, including preparation of agendas, meeting minutes, and related correspondence.
  • Send out friendly reminders for overdue action items, announcements, and status requests.
  • Participate in required meetings, record minutes, decisions, and action items, and organize meeting materials.
  • Support research and analysis assignments, collect data, and prepare documents, reports, and charts.
  • Support efforts to draft system outage notices and develop operational procedures, instructional guides, and memos.

  • Strong ability to multitask and prioritize competing priorities toward meeting deadlines.
  • Strong analytical, follow-through, and problem-solving skills.
  • Strong verbal and written skills, including documentation and presentations.
  • Strong self-awareness.
  • Strong skills in Microsoft Office 365 (Word, Excel, PowerPoint, Access, VISIO).
  • Prior experience working in an IT environment is a plus.
Preferred Qualifications
  • Bachelor's degree or higher.
  • 5 years of hands-on experience.
