Walker Healthforce is on the lookout for a dedicated Payroll Specialist to manage our payroll operations. This full-time position will be responsible for overseeing payroll across multiple states, alongside some human resources, billing, and accounts receivable duties.

Key Responsibilities:

  • Manage the preparation and execution of weekly payroll for multiple states.
  • Handle minor bookkeeping tasks, including accounts receivable, accounts payable, and journal entries, using Microsoft Excel and QuickBooks (Desktop Enterprise edition).
  • Oversee onboarding processes and manage new hire documentation.

Payroll Processing Duties:

  • Conduct weekly full-service payroll processing for various entities.
  • Manage time and attendance records, including both manual and imported entries.
  • Facilitate direct deposits and manage tax documentation.
  • Administer garnishments and miscellaneous deductions.
  • Issue manual checks as required.
  • Communicate payroll liabilities effectively.
  • Generate and analyze payroll reports on a weekly and monthly basis.
  • Perform reconciliations related to payroll and benefits with the General Ledger.

Additional Job Functions:

  • Analyze payroll strategies and propose enhancements to streamline processes.
  • Provide excellent customer service to employees regarding payroll inquiries.
  • Process employee modifications such as deductions, scheduled payments, and benefit enrollments.
  • Collect and organize timesheets and expense reports for contractors.
  • Audit payroll accounts to identify discrepancies and initiate corrections.
  • Maintain payroll records and ensure data integrity within payroll systems.
  • Manage state registrations for payroll-related taxes and respond to inquiries from relevant agencies.
  • Prepare monthly and quarterly reports for federal, state, and local agencies.
  • Monitor tax agency notifications and manage resolution processes.
  • Administer wage attachments and garnishments in coordination with vendors.
  • Process off-cycle checks and manage transaction follow-ups.
  • Conduct audits of payroll inputs and outputs, correcting errors as necessary.
  • Support employee access to payroll portals.
  • Coordinate corrections for prior tax data, including W-2 adjustments.

Required Qualifications:

  • Extensive experience with ADP or similar payroll systems.
  • In-depth knowledge of U.S. payroll regulations, garnishment laws, and multi-state payroll practices.
  • Proficient in Microsoft Excel and other Microsoft Office applications.
  • Experience with ERP systems is a plus.
  • Bachelor's Degree in Human Resources, Accounting, or a related field is required.
  • A minimum of 5 years of experience in full-cycle payroll management is essential.
  • Ability to handle confidential information with discretion.
  • Strong communication skills, both verbal and written.
  • Capacity to thrive in a fast-paced work environment.
  • Excellent interpersonal skills.

Preferred Qualifications:

  • Experience with ADP Workforce Now.
  • 5+ years of experience processing payroll for a multi-state workforce.
  • Knowledge of employee benefits and labor regulations.
  • Prior experience in billing and accounts payable/receivable.
  • Familiarity with QuickBooks or similar systems.
  • FPC or CPP Payroll Certification is preferred.
