Job Summary

Under the direction of the Sr. Associate Dean for Operations, the Facilities Coordinator serves as the single point-of-contact for Isenberg's three buildings: ISOM, Alfond, and the Business and Innovation Hub.

Responsibilities
  1. Provide facilities-related customer service to nearly 250 faculty and staff.
  2. Oversee general building maintenance and emergency response situations.
  3. Coordinate with the office of Special Programs and Engagement and the Undergraduate Programs Office to provide support for events and special facility operations.
  4. Work with Isenberg Technology Support Services (TSS) Department to coordinate technology installations and upgrades.
  5. Assist in procurement, delivery, and set-up of furniture and equipment.
  6. Oversee periodic faculty office relocations.
  7. Schedule maintenance requests and work with the Physical Plant and Facilities department personnel to schedule meetings and projects involving physical space.
  8. Serve as a liaison with campus departments regarding building preventative and restorative maintenance.
Essential Functions
  1. Prepare and submit recommendations for maintenance and facility operations with oversight by the facilities manager.
  2. Work closely with the Physical Plant service desk and the school's customer service liaison to ensure timely resolutions of building maintenance, cleanliness, and repair issues.
  3. Build relationships with managers and staff of Isenberg departments to facilitate the movement and completion of projects.
  4. Develop an in-depth understanding of the operations and processes of these offices.
  5. Work with Isenberg Technology Support Services (TSS) to coordinate installations and moves of computer and other technological equipment in faculty offices and Isenberg meeting rooms.
  6. Track and monitor work within Isenberg facilities performed by Physical Plant and Alterations.
  7. Check with Associate Deans and departmental staff to schedule efficient and non-disruptive approaches for conducting maintenance/renovation tasks.
  8. Apprise the Dean's appropriate department head(s), Directors, and/or specific faculty or staff member(s) of project progress and completion.
Additional Responsibilities
  1. Serve as the main point of contact for card key assignments and metal key issuance.
  2. Maintain accurate and thorough records of all call-in repairs and work order requests forwarded by the school to Physical Plant.
  3. Attend school and campus level meetings on facilities as a representative of Isenberg.
  4. Manage job tickets submitted by Isenberg employees in an automated system.
  5. Maintain Tririga (UMass facilities management software).
  6. Manage furniture delivery and installation.
  7. Maintain building signs.
  8. Assist in the administrative support area as necessary to support other critical operational needs.
  9. Remove unwanted furniture from offices into storage or for disposal.
  10. Clean offices and other spaces when spaces are reconfigured or reassigned.
