About the Role

We are seeking a highly organized and detail-oriented Facilities and Mailroom Assistant to join our team at the State of New York Mortgage Agency. As a key member of our Office of Professional Services, you will provide administrative support and maintain the facilities and mailroom operations.

Key Responsibilities
  • Provide exceptional customer service and support to our staff and visitors.
  • Perform general maintenance of the facility and office equipment, ensuring a safe and efficient work environment.
  • Answer phones and respond to inquiries with general knowledge of the Agency's business, in an efficient and professional manner.
  • Assist with company functions, including setup and coordination.
  • Maintain conference rooms and assist with moving furniture as needed.
  • Complete daily and weekly mailroom and facility-related tasks as directed.
  • Schedule meetings and log in Agency visitors.
  • Coordinate video conferencing and cover the reception desk as needed.
  • Dependability and ability to work overtime or on weekends, if required.
Requirements
  • Minimum of one year receptionist, clerical, and mailroom experience.
  • Computer literate and strong familiarity with Microsoft Outlook, Word, and Excel.
  • Exceptional telephone and interpersonal skills.
  • Good diction and voice control important.
  • Attendance and punctuality extremely important.
