Health Information Management Specialist

We are seeking a highly organized and detail-oriented Health Information Management Specialist to join our team at Billings Clinic. As a key member of our Health Information Management department, you will be responsible for maintaining patient health information files, performing chart location and tracking, scanning and quality of documentation in the Electronic Health Record, and ensuring accuracy and completeness of the medical record.
Key Responsibilities- Maintain patient health information files and perform chart location and tracking
- Scan patient documentation according to established electronic health system orders
- Retrieve patient charts at discharge and verify against ADT reports that all records have been received
- Prepare and organize documents for the imaging process and determine correct settings to ensure quality of each document
- Answer the telephone and provide requested information through independent resolution using research skills, document production, and data analysis techniques
- Determine and appropriately locate medical records in the electronic health system (CIS) and locate historical paper medical record locations using software such as Mysis, ChartFact/Locator, SMS, and microfilm
- Perform final verification of medical record completion prior to completing chart from task queues and analyze medical records for chart completion deficiencies as mandated by JCAHO, Medicare, Medicaid, and/or other accrediting or regulatory bodies
- Work with HIM Leadership to compile and analyze chart deficiencies weekly and notify physician(s) of aging of deficiencies
- Assess quality of scanned documents on a daily basis and measure results against established quality standards
- Respond to requests for patient healthcare information and verify a compliant authorization has been provided
- High School or GED
- One year of work experience in a hospital, physician clinic, or other related medical area (preferred)
- Fast-paced office environment with frequent interruptions
- Works closely with physicians and other healthcare providers
- May work varying shifts, weekends, and/or holidays to meet business needs
- May participate in on-call rotation for weekend coverage
