Position Overview


The Accounting Operations Manager is responsible for overseeing a range of financial activities related to accounts payable, cash management, and general ledger functions within the organization. This role is crucial in providing comprehensive financial support to both internal teams and external stakeholders.

This position is designed to deliver high-quality services that align with the organization's strategic objectives.

Key Responsibilities

1. Review, categorize, and process invoices for timely payment.

2. Manage the receipt and documentation of cash deposits.

3. Conduct monthly reconciliations of general ledger accounts.

4. Perform quarterly balance sheet reconciliations.

5. Ensure all invoices are accompanied by appropriate supporting documentation prior to processing.

6. Verify that all reimbursement requests have sufficient documentation before payment.

7. Investigate and resolve financial inquiries from members and vendors.

8. Handle monthly credit card reconciliations and payments.

9. Reconcile vendor statements and prior balances on invoices to maintain current accounts.

10. Maintain accurate physical and electronic accounting records.

11. Prepare and analyze financial records, statements, and reports for accuracy and compliance with standards.

12. Assist in monthly, quarterly, and annual fiscal closing processes.

13. Support the preparation for annual financial audits.

14. Aid in the assembly and submission of grant documentation.

15. Attend and provide support for relevant meetings and events as required.

Supervisory Duties

This role may involve direct or indirect management of staff and oversight of external contractors and vendors providing services related to the organization's programs.

Qualifications

- Bachelor's degree in accounting or a related discipline from an accredited institution.

- Several years of professional accounting experience in an office setting.

- Willingness to travel nationally and internationally as needed.

Knowledge, Skills, and Abilities

- Strong understanding of generally accepted accounting principles (GAAP).

- Familiarity with finance, accounting, budgeting, and cost control principles.

- Knowledge of financial and accounting reporting systems.

- Understanding of federal financial regulations applicable to nonprofit organizations.

- Proficiency in federal contract and grant accounting principles, including cost accounting standards.

- Ability to develop, plan, and manage multiple concurrent activities.

- Strong problem-solving skills with sound decision-making capabilities.

- Capacity to meet deadlines for assigned deliverables.

- Commitment to providing exceptional customer service to members and stakeholders.

- Excellent verbal, written, listening, and interpersonal communication skills.
