About the Role

We are seeking a highly skilled and experienced Sponsored Research Administration Manager to join our team at AAHI. As a key member of our research administration function, you will be responsible for managing pre-award and post-award activities for our sponsored research portfolio.

Key Responsibilities
  • Proposal Development and Management: Serve as the administrative lead for proposal development and new opportunity management, identifying opportunities for external funding that support our research priorities.
  • Funding Opportunity Identification: Review new funding opportunities and/or terms and conditions of other awarding mechanisms and highlight key compliance requirements.
  • Proposal Budgeting and Compliance: Assist Principal Investigators and Project Managers in the development and submission of accurate proposal budgets and compliant proposal materials by interpreting sponsor guidelines, organizational policies, and federal regulations.
  • Proposal Tracking and Communication: Track the status of proposals and communicate with funding agencies regarding the review and award process, keeping an up-to-date and accessible list of proposals and their status.
  • Cost Sharing and Proposal Requirements: Identify any required cost sharing or other proposal requirements and ensure that all required proposal documentation for subrecipients is complete and compliant prior to submission of proposal.
  • Award Management and Compliance: Monitor month-to-month balance of award funds, lead efforts to reforecast expenditures, prepare FAR b) cost-to-complete analyses for submission to sponsors, and provide guidance to scientists so all grant funds are used in accordance with approved budget and applicable sponsor policy/regulation.
  • Invoice Review and Approval: Review and approve invoices and billings to funding agencies on a timely basis in coordination with Finance and Project Managers/Principal Investigators.
  • Progress Report Submission: Assist in the submission of progress reports in coordination with Principal Investigators and Project Managers.
  • Subaward and Subcontract Origination: Originate subawards and subcontracts in collaboration with the Legal department, including conducting 2 CFR determinations and Uniform Guidance risk assessment.
  • Subrecipient Monitoring: Monitor awards made to subrecipients, including approval of subrecipient invoices, effort reporting, etc.
  • Financial Oversight and Compliance: Contribute to the financial oversight of awards and compliance with applicable policy and regulation by serving as an internal control and interpreting sponsor cost principles for determination of allowable costs.
  • Compliance Support: Support the Finance department in compliance matters, including responding to auditor requests during Federal Single Audit.
  • Sponsored Project Closeout: Ensure timely and appropriate closeout of sponsored projects per sponsor requirements.
Requirements
  • Experience: 5-7 years' experience working in a medical research environment, either at an academic institution, non-profit organization, clinical research site, or pharmaceutical/biotech organization.
  • Federal Research Award Management: Three (3) years of experience in federal research award management (preferably research awards with NIH, NIAID, DoD, etc).
  • FAR-Based Contract Management: Three (3) years of experience in managing FAR-based contracts.
  • Leadership Experience: Previous experience managing a person(s) or team.
  • Grant and Contract Development: Proven track record of success in grant and contract development with the federal government.
  • Uniform Guidance and Indirect Cost Rate Proposals: Experience with Uniform Guidance Single Audits and federally negotiated indirect cost rate proposals strongly preferred.
  • Communication and Collaboration: Ability to work with the Legal Department and federal contracting officer(s) to apply federal regulations to contract negotiations and management, and to communicate complex information to all levels of the organization in a way the audience can understand.
  • Technical Skills: Experience with grants and contracts systems, and solid working knowledge of Microsoft 365 (including Word, Excel, and PowerPoint and the collaborative aspects of these applications in OneDrive/SharePoint).
  • Leadership and Management: Ability to clearly communicate both verbally and in writing with all levels of the organization, and to manage and prioritize multiple projects/tasks.
