Key Responsibilities

  • Participate in meetings with architects, engineers, and clients, ensuring accurate documentation of discussions.
  • Collaborate with the Project Manager and Superintendent to develop and maintain project schedules.
  • Disseminate project plans and specifications post-award as required.
  • Gain in-depth knowledge of project drawings, specifications, addendums, and contracts.
  • Support the Project Manager and Superintendent in organizing progress meetings with subcontractors, including minute-taking and distribution.
  • Facilitate the distribution of potential change order documents to subcontractors and suppliers for pricing, assisting in bid collection.
  • Ensure all project modifications, directives, and RFIs are accurately reflected in the 'as-built' drawings, coordinating with the Superintendent and subcontractors.
  • Review and process all submittals and shop drawings to guarantee timely project schedules and material deliveries, distributing approved documents accordingly.
  • Draft, distribute, and monitor RFIs, assessing their potential impact on costs and schedules.
  • Manage the submission of required close-out documents and assist subcontractors in scheduling necessary training and documentation.
  • Assist the Project Manager in effectively managing the project budget, monitoring expenses, and identifying work outside subcontractor scopes.
  • Support the coordination of all types of change orders, ensuring thorough documentation and communication.
  • Contribute to quality control initiatives as outlined in the QA/QC program.
  • Assist in the review and updating of financial reports.
  • Participate in bid and proposal development as needed.
  • Foster strong relationships with clients, design teams, subcontractors, and suppliers, aligning with ETC's core values and customer expectations.
  • Engage in personal career development through on-the-job training and participation in training programs, while mentoring Project Coordinators and Interns.
  • Oversee and train Project Coordinators on their job responsibilities.
  • Perform additional duties as assigned by the Project Manager or Executive Team.

Job Requirements:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with Procore Software is preferred.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Capability to manage multiple projects simultaneously.
  • Meticulous attention to detail.
  • Ability to work independently and take initiative.
  • Preferred experience in accounting and construction management.
  • Knowledge of OSHPD / HCAI standards is advantageous.
