Job Summary

Lantern Community Services Inc is seeking a highly skilled and detail-oriented Program Associate to provide administrative support to the Program Director and social service team.

Key Responsibilities:

  • Assist in the planning and implementation of programs, ensuring seamless execution and timely completion.
  • Manage logistics and tracking of staff training, ensuring compliance and accuracy.
  • Participate in regular staff meetings and other meetings as required, providing updates and insights.
  • Assist with ordering equipment and supplies, maintaining inventory and assessing needs.
  • Complete and submit purchase orders for various items, ensuring timely delivery and accuracy.
  • Track and submit invoices, ensuring prompt payment and compliance.
  • Provide support for event planning, trip coordination, and meeting preparation, ensuring smooth execution.
  • Review and track incident reports, ensuring prompt action and resolution.
  • Develop and distribute tracking tools and signage, ensuring clear communication and visibility.
  • Maintain a strong collaborative relationship with onsite staff and outside providers, fostering a positive and productive work environment.
  • Stay up-to-date with technological systems, ensuring seamless integration and utilization.
  • Assist with entering and tracking building repairs, ensuring timely completion and accuracy.
  • Coordinate with building management on various projects, ensuring quality and timeliness.
  • Maintain the building calendar and schedule meetings and gatherings, ensuring smooth execution.
  • Assist with memoranda, letters, procedures, reports, and other documents, ensuring accuracy and compliance.
  • Record minutes of on-site meetings, ensuring clear communication and visibility.

Requirements:

  • A High School diploma is required, Associate degree preferred.
  • 1-2 years of experience working in a related field preferred.
  • Strong writing, communication, and organizational skills.
  • Ability to prioritize, make decisions, and perform notifications.
  • Incredible initiative, ability to work well under pressure, and ability to work independently and as part of a team.
  • High level of computer proficiency with proficiency in Excel and ability to learn new technologies and databases.

Work Environment:

This job operates in a supportive housing environment and works with a population who experiences mental illness, addiction, disability, HIV, and other chronic illnesses.

Physical Demands:

While performing the duties of this job, the employee is regularly required to stand, walk, sit, stoop, climb stairs, and/or kneel. They must also use hands to type, handle, or feel. The employee is frequently required to talk or hear and must occasionally lift and/or move up to 10 pounds.
