Job Title: Office Assistant

HealthXL, LLC is seeking a highly organized and detail-oriented Office Assistant to join our team. As the primary point of contact for physical security and maintenance, this role is responsible for ensuring the smooth day-to-day operations of the office.

Key Responsibilities:
  • Incoming Calls: Answer and direct phone calls in a timely and polite manner using a multi-line phone, maintaining an answer rate of 95% during business hours.
  • Office Operations: Manage entry door alarm codes, serve as the primary contact for office-related vendors, check and process mail daily, review and approve office bills, and perform annual fire alarm inspections.
  • Operational Support: Track and maintain computer equipment inventory, create shipping labels, schedule candidate interviews, facilitate onboarding tasks, and coordinate holiday gifts.
Requirements:

  • Prior customer service experience handling high-volume incoming calls.
  • Excellent communication skills and phone etiquette.
  • Prior experience in an office role, preferably with diverse responsibilities.
  • Ability to handle multiple competing priorities, manage inventories, and track due dates.
  • Proficient use of Microsoft Office Suite (Excel/Word/Outlook).
