Position Objective: To provide assistance with various office support functions for internal operations, which includes maintaining both electronic and physical files, sorting and distributing correspondence, tracking the receipt and delivery of packages and supplies, and executing a variety of data entry and clerical responsibilities.


Essential Duties and Responsibilities: The following are examples of responsibilities associated with this position and do not limit the assignment of related duties to this classification.

1. Assists in maintaining both physical and electronic filing systems, including data entry related to the filing process.
2. Conducts record maintenance, which includes scanning and indexing documents and data entry concerning imaged documents.
3. Copies or prints files and compiles documents and/or files as necessary.
4. Responds to inquiries from the public and partner agencies to provide effective public service.
5. Completes database inquiries related to incoming documents.

6. Stamps, sorts, and distributes incoming mail; collects, routes, and delivers outgoing mail and performs messenger services between divisions.

7. Attends work regularly and punctually.
8. Performs other duties as assigned or as necessary.

Minimum Qualifications: To be considered for this position, applicants must meet the following criteria:

High School diploma or equivalent and currently enrolled in post-secondary courses in legal studies, law enforcement, human services, paralegal studies, administrative support, business, customer service, or a related field OR high school diploma or equivalent and six months of volunteer or paid work experience in a legal, law enforcement, human services, paralegal, administrative support, business, customer service, or related field.

Must have experience using Microsoft Outlook and Word.
Must be able to comply with security requirements.

Preferred Experience Beyond Minimum Qualifications: Experience in processing daily mail.
Familiarity with operating digital copiers and printers.
Customer service experience in a dynamic environment.
Experience handling confidential materials.

Desirable Knowledge, Skills, and Abilities: Knowledge of criminal/juvenile/civil justice systems.
Understanding of English grammar, punctuation, and vocabulary.
Familiarity with office practices, procedures, and technology.
Knowledge of electronic document management and mailing processes.
Proficient in the use of copiers, facsimile machines, and other office equipment.
Ability to promote a positive image of the department through effective communication and customer service.
Ability to follow both oral and written instructions.
Ability to work independently as well as collaboratively within a team.
Ability to communicate effectively both verbally and in writing.

Work Environment and Physical Demands: The primary responsibilities for this position will be performed indoors.

Minimal travel to offsite locations may be required. Exposure to health hazards and accidents is minimal; the role requires a low level of physical effort. All employees are required to reside within the state.

Extent of Supervision or Guidance Provided: Work is performed under the supervision of the Office Services Supervisor.

Responsibility for Public Contact: Frequent.

Supervision of Others: None.


Hours of Work: This position offers a flexible schedule of up to 40 hours per week during standard business hours.
