Position Summary

We are seeking a motivated and friendly individual to fulfill the role of Patient Service Specialist. This position is integral to our patient care team at the front desk, utilizing your expertise to deliver exceptional service with a focus on hospitality to our patients and clients.

The Patient Service Specialist is responsible for ensuring a smooth workflow within the office while fostering a warm and inviting atmosphere for our patients, both over the phone and in person. Responsibilities include, but are not limited to, managing calls for multiple locations, scheduling patient appointments, updating insurance details and patient information upon check-in, facilitating communication between patients and healthcare providers via phone and electronic medical records, and collecting copayments and outstanding balances.

Key Responsibilities

  • Punctuality and flexibility in scheduling as needed by the business.
  • Proper maintenance of equipment and supplies.
  • Adherence to HIPAA and OSHA regulations at all times.
  • Completion of required checklists and documentation.
  • Guiding patients through various stages of their treatment, including greeting, check-in, and check-out processes.
  • Supporting effective patient communication and practice development by answering phones, scheduling appointments, and addressing patient inquiries.
  • Assisting in resolving patient-related issues.
  • Maintaining accurate medical records as necessary.
  • Documenting all actions taken and advice provided to patients within their medical records.
  • Filing clinical forms and documents in patient records.
  • Providing and explaining after-visit instructions and literature upon patient discharge.
  • Scheduling follow-up appointments prior to patient discharge.
  • Making necessary calls to insurance companies, hospitals, and physician offices.
  • Reporting any incidents involving staff or patients that require management attention.
  • Demonstrating the ability to work independently.
  • Maintaining a positive and welcoming demeanor to foster a quality work environment that encourages patient retention and staff satisfaction.
  • Assisting in various operational and training tasks as requested by management.
  • Training new staff members as needed.

Qualifications

Education:

  • High school diploma or equivalent required.

Experience:

  • Enthusiasm and strong customer service skills are essential.
  • Excellent communication and listening abilities, along with basic computer proficiency.
  • A minimum of two years of experience in the medical field is preferred.
  • Familiarity with EPIC electronic medical records is advantageous.
  • Comfortable interacting with patients with diverse needs and disabilities.
