Medical Operations Director

The Medical Operations Director will oversee the day-to-day operations of a medical office, including financial management, employee relations, customer service, training and education, facilities management, timesheet management, and site performance reports. This role is responsible for managing all aspects of operations involving non-clinical staff in the office.
Key Responsibilities
- Oversight of staff and daily operations of the medical office, delegating and assigning tasks as necessary
- Assistance in the management of office budget, monitoring and controlling office expenditures, and staff overtime
- Monitoring key performance indicators (KPIs) and preparing office management reports
- Conducting monthly metric reviews of hospital admissions, readmissions, medical expenses related to patient care, membership growth, financial performance, quality of care, and patient experience
- Implementation of procedures to improve office performance, such as minimizing patient cancellations, minimizing staff turnover, decreasing utilization, etc.
- Partnership with providers to maintain orderly and efficient workflows in the office
- Leadership of daily huddles to discuss daily schedules, patient metrics, office performance, successes, recognition, and other areas of opportunity
- Holding regular coaching sessions and annual performance reviews with direct reports
- Responsibility for implementing procedures to achieve performance goals, including but not limited to 90% fulfillment on all office operational objectives
- Staying abreast of company positions on Medicare Advantage, office management, business model, compliance, communication, and technology
- Conducting office-level new hire training and onboarding, including office management training, adherence to company policies and procedures, and compliance to company technology and communications protocols
- Management of all office aspects of new patient process with cross-functional teams, including office touring, patient portal registration, management of new patient paperwork, and coordination of medical referrals from the medical office
- Maintenance and tracking of office supplies, management of inventory, and execution of all purchase orders and supply request processing
- Coordination and management of office staff's scheduling and timesheets for payroll
- Implementation of employee/patient incident reporting procedures as necessary and assistance to Area Managers with incident management
- Management and resolution of patient/caretaker complaints and concerns
- Timely and appropriate escalation of office issues and concerns as necessary
- Determination and justification of needs for systems, equipment, and capital purchases
- Monitoring use, inventory, maintenance, and proper working condition of clinical devices
- Assurance of office readiness for regulatory visits, addressing and responding to site inspections, audits, and surveys, including OSHA, CLIA, and program assessment
- Overseeing management and training of office's emergency response processes
- Maintenance of client and employee privacy in accordance with MyCare policy and HIPPA regulations
- Maintenance of a positive atmosphere and working environment, effectively monitoring morale and creating a dynamic patient-centric and servant culture
- Support of providers and office staff as needed
