About the Role

West Coast University, Inc. is seeking a highly skilled Student Account Specialist to join our team. As a Student Account Specialist, you will play a critical role in ensuring timely collection of payments from students and achieving strict collection metrics.

Key Responsibilities
  • Serve as the primary campus contact for student ledger accounts, tuition, and fee billing and collections.
  • Respond to inquiries from students, families, external vendors, and other University departments regarding student accounts, program costs, business office policy and procedures, and services offered to students.
  • Perform student billing and collection activities, including issuing receipts and maintaining documentation of billing and collection activities in student electronic files.
  • Track and monitor student accounts in Campus Vue software and perform appropriate outreach to students regarding balances due and University collection policies.
  • Verify and transmit campus credit card reimbursement requests.
  • Empty University-operated copier or vending machines and prepare bank deposits for funds received.
  • Accept and post payments for student accounts and miscellaneous charges, and prepare deposit of checks, money orders, etc. for daily electronic banking deposits and maintain appropriate documentation of same.
  • Process and reconcile credit card payments and submit documentation of same to university accounting office.
  • Collaborate with colleagues in other departments and external agencies to resolve student issues or concerns regarding student accounts.
  • Audit student accounts for accuracy, review accounts of upcoming graduates, and utilize transcript, registration, and other "holds" on student records.
Requirements
  • 3+ years of experience in a customer service or collections role.
  • At least one year of experience in a student services role at a college or university.
  • Basic knowledge of standards and processes for account collections and customer service.
  • High school diploma required. Experienced candidates will be considered without a degree provided they have more than 3 years of collections and customer service experience.
  • Bachelor's degree from an accredited College or University is preferred.
