Job Overview

Gladstone Psychiatry and Wellness is in search of a Healthcare Customer Service Specialist to join our dedicated team. The ideal candidate will possess a passion for patient care and exceptional customer service skills, along with the ability to thrive in a dynamic office environment.

Key Responsibilities

The primary role of the Healthcare Customer Service Specialist is to facilitate positive and professional interactions with our patients. Responsibilities include:

  • Ensuring front desk operations are ready and accessible for patients and healthcare providers.
  • Welcoming all patients and visitors with courtesy and warmth.
  • Verifying insurance and demographic details accurately.
  • Collecting co-payments and self-pay balances as necessary.
  • Collaborating effectively with clinical staff.
  • Maintaining accurate documentation within the Electronic Medical Records (EMR) system.
  • Scheduling follow-up appointments and sending reminders.
  • Completing all required workflows on a daily basis.
  • Coordinating with Call Center and Revenue departments.
  • Informing patients and clinicians about any service delays.
  • Managing multiple spreadsheets and workflows efficiently.
  • Handling incoming mail and packages.
  • Performing additional duties as assigned.
Qualifications

To be successful in this role, candidates should possess the following:

  • Strong customer service, verbal, and written communication skills.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Decision-making capabilities.
  • Proficiency in Microsoft Office Suite and related applications.
  • Flexibility and adaptability.
  • Familiarity with Electronic Medical Records systems is advantageous.
Education and Experience

Applicants should meet the following criteria:

  • High school diploma, certificate, or equivalent.
  • At least one year of experience in a medical office setting is preferred.
  • A minimum of one year of face-to-face customer service experience.
  • Knowledge of medical terminology is preferred but not mandatory.
  • Demonstrated history of customer satisfaction.
  • Experience in mental health or psychiatric settings is a plus but not required.
