Healthcare Customer Service Specialist

Gladstone Psychiatry and Wellness is in search of a Healthcare Customer Service Specialist to join our dedicated team. The ideal candidate will possess a passion for patient care and exceptional customer service skills, along with the ability to thrive in a dynamic office environment.
Key ResponsibilitiesThe primary role of the Healthcare Customer Service Specialist is to facilitate positive and professional interactions with our patients. Responsibilities include:
- Ensuring front desk operations are ready and accessible for patients and healthcare providers.
- Welcoming all patients and visitors with courtesy and warmth.
- Verifying insurance and demographic details accurately.
- Collecting co-payments and self-pay balances as necessary.
- Collaborating effectively with clinical staff.
- Maintaining accurate documentation within the Electronic Medical Records (EMR) system.
- Scheduling follow-up appointments and sending reminders.
- Completing all required workflows on a daily basis.
- Coordinating with Call Center and Revenue departments.
- Informing patients and clinicians about any service delays.
- Managing multiple spreadsheets and workflows efficiently.
- Handling incoming mail and packages.
- Performing additional duties as assigned.
To be successful in this role, candidates should possess the following:
- Strong customer service, verbal, and written communication skills.
- Ability to manage multiple tasks in a fast-paced environment.
- Decision-making capabilities.
- Proficiency in Microsoft Office Suite and related applications.
- Flexibility and adaptability.
- Familiarity with Electronic Medical Records systems is advantageous.
Applicants should meet the following criteria:
- High school diploma, certificate, or equivalent.
- At least one year of experience in a medical office setting is preferred.
- A minimum of one year of face-to-face customer service experience.
- Knowledge of medical terminology is preferred but not mandatory.
- Demonstrated history of customer satisfaction.
- Experience in mental health or psychiatric settings is a plus but not required.
