Position Overview:

Key Responsibilities:
  • Mission Alignment: Understand and advocate for the organization's Mission, Vision, and Core Values, ensuring compliance with policies and procedures.
  • Reception Duties: Manage the reception area, greeting visitors, answering inquiries, and issuing ID badges.
  • Security Coordination: Assist security personnel by providing directions and notifying staff of visitor arrivals.
  • Call Management: Operate a multi-line phone system, directing calls to appropriate extensions and taking messages as needed.
  • Log Maintenance: Keep an accurate log of individuals entering and exiting the premises.
  • Mail and Deliveries: Receive and organize deliveries and mail for distribution to the appropriate parties.
  • Meeting Coordination: Handle meeting room bookings, ensuring optimal use of space and confirming details with clients.
  • Event Support: Coordinate various services for meetings, including audiovisual needs, catering requests, and room setups.
  • Equipment Management: Set up and maintain audiovisual, Wi-Fi, and conference phone equipment.
  • Facility Maintenance: Ensure the cleanliness and order of conference and common areas, reporting any issues to management.
  • Stakeholder Relations: Build and maintain strong relationships with office stakeholders.
  • Additional Duties: Perform other related tasks as assigned.

Qualifications:
  • High School Diploma or GED is required.
  • Bilingual proficiency in Spanish and English is required.
  • Proficient in Outlook calendar and email management.
  • A minimum of 2 years of experience in a front desk or reception role is required.

Essential Skills:
  • Excellent written and verbal communication abilities.
  • Understanding of the mission of the Children's Aid Society and its relevance to site management.
  • Professional demeanor and appearance.
