Position Overview

Role Summary: The primary responsibility of this position is to function as the Administrative Assistant for the church. This role involves direct reporting to the Pastor and encompasses various clerical tasks including word processing, filing, copying, and managing communications.

Key Responsibilities:

  1. Reception Duties:
    1. Provide a friendly and professional image over the phone; manage incoming calls and take messages as necessary.
    2. Screen visitors based on the Pastor's schedule.
  2. Maintain an organized and welcoming reception area.
  3. Manage inventory and order supplies as needed.
  4. Keep an updated digital calendar for church events and meetings, coordinating with the Pastor.
  5. Handle all incoming and outgoing mail and correspondence efficiently.
  6. Respond to emails and phone inquiries promptly.
  7. Prepare and print necessary documents for worship services, including bulletins and guides.
  8. Update and maintain the online church directory and membership records.
  9. Assist in the compilation of Annual Reports.
  10. Participate in staff meetings regularly.
  11. Organize and file both physical and digital documents systematically.
  12. Inform the Pastor about significant events concerning church members, such as hospitalizations.
  13. Keep all church forms, brochures, and literature current.
  14. Support the creation of the monthly digital newsletter.
  15. Coordinate with service providers for the maintenance of office equipment.
