Position Summary
We are currently seeking dedicated individuals for the role of Administrative Receptionist. This position is essential for the smooth operation of our clinics, which provide a variety of behavioral health services for individuals of all ages.
Key Responsibilities
- Manage incoming calls during operational hours, ensuring a courteous and professional phone demeanor.
- Take messages from the general voicemail and relay them to appropriate staff members.
- Welcome and greet clients and visitors, both in person and over the phone.
- Maintain accurate records of daily client interactions.
- Coordinate clinical schedules for staff, including appointments and cancellations.
- Schedule client appointments with precision.
- Process payments from clients accurately.
- Direct individuals attending meetings appropriately.
- Collaborate with program assistants to ensure availability of necessary client forms and surveys.
- Maintain a sufficient supply of new client materials.
- Receive and manage clinic mail and deliveries.
- Keep the reception area organized and presentable.
- Perform other assigned duties as needed.
Qualifications
- Bilingual in Spanish and English.
- 1 to 3 years of experience in a reception role, preferably in a medical or community mental health setting.
- Strong communication and interpersonal skills.
- Detail-oriented with good time management abilities.
- Familiarity with front desk operations in a clinical environment.
- Excellent telephone etiquette and customer service skills.
- Ability to maintain professionalism, patience, and flexibility at all times.
- Proficient in using Electronic Health Record systems.
Education
- High school diploma or equivalent required; Administrative Assistant certification preferred.
- Proficiency in MS Office Suite and database applications.
- Must demonstrate reliability and the ability to work both independently and collaboratively.
- Must adhere to agency policies and maintain confidentiality regarding client information.
