About the Role:

The University of North Carolina at Chapel Hill, School of Medicine, Department of Pharmacology is seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. This position will provide comprehensive support to Student Services, including student assistance, coordination of the Carolina Summer Fellows Program, administration of GradStar, grant collaboration, organization of department-wide and student events, and management of technology resources.

Key Responsibilities:

  • Provide exceptional administrative support to the Student Services team, including responding to inquiries, resolving issues, and maintaining accurate records.
  • Coordinate the Carolina Summer Fellows Program, including recruitment, selection, and onboarding of participants.
  • Administer GradStar, including data entry, reporting, and analysis.
  • Collaborate with faculty and staff on grant-related activities, including proposal development, budgeting, and reporting.
  • Organize department-wide and student events, including logistics, marketing, and evaluation.
  • Manage technology resources, including software, hardware, and network infrastructure.

Requirements:

  • High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
  • FERPA training.
  • Database management and website maintenance experience.
  • Ability to effectively convey information to audiences with varying levels of responsibility verbally and in writing.
  • Ability to perform moderately complex procedures using basic analytic ability.
  • Ability to think critically to effectively solve and communicate problems in a fast-paced environment.
  • Strong interpersonal skills.
  • Self-motivated and task driven.
  • A thorough knowledge of MS Office software, including MS Word and MS Excel.

Preferred Qualifications:

  • Experience providing administrative support in a student-centered atmosphere.
  • Experience in public relations, customer service, and records administration.
  • Experience with systems such as Qualtrics, Flight Tracker, WordPress, GradStar, PubMed, Xibo, Slack, Bank of America Works, UNC IT Room Reservations.
