Job Summary:
The Assistant Property Manager will play a key role in ensuring the smooth operation of our properties, providing exceptional customer service, and contributing to the growth and success of our company.
Responsibilities:
- Customer Relations and Property Management
- Develop and maintain positive relationships with customers, ensuring their needs are met and exceeded.
- Coordinate and assist with customer events, receptions, and orientations.
- Meet with customers regularly to communicate building updates and solicit feedback.
- Prepare customer engagement programs to maintain satisfaction with building amenities and services.
- Oversee the property website, ensuring information is current and accurate.
- Perform property inspections to identify risk management liabilities and ensure preventive maintenance and cleaning are performed according to contract standards and company policy.
- Prepare property status reports, building inspection reports, tracking reports, correspondence, and files.
- Assist in managing contracted services for property maintenance, conducting competitive bids, and selecting service providers.
- Assist in the training, supervision, and action of staff under the property emergency response process.
- Participate in construction projects, including capital improvements, customer improvements, and major repairs.
Property Accounting
- Assist in preparing the operating budget, including revenue, expenses, capital plan, and operating expense management.
- Work with Property Managers to prepare monthly financial reports, such as accruals, budget variance reports, and forecast reports.
- Review and approve monthly recurring billing and miscellaneous billing.
- Reconcile monthly invoices of major service providers to ensure accuracy and prepare reports for billing.
- Understand methods of calculating operating expense prorate shares, prepare and review calculations, and approve customer statements.
- Responsible for reviewing and approving invoices and working with the Administrative Manager on accounts receivable, collection activities, and maintenance of accounts payable.
- Complete operating expense reviews and customer calculation sheet preparation in conjunction with the Administrative Manager and Property Manager.
- Prepare annual rental letter communications to customers.
Leasing
- Administer leases on matters related to contractual performance, including leasehold rights and landlord and customer obligations.
- Prepare rental commencement letters and lease required notices.
- Review lease abstracts provided by Lease Administration.
- Support the Leasing team by preparing vacant space and participating in tours.
- Review lease draft language from counsel to incorporate property-specific terms.

Required or Preferred Knowledge, Skills, and Abilities:
- A minimum of 2 years of commercial property management experience.
- Prior commercial real estate office management experience is strongly preferred.
- Bachelor's degree is preferred.
- A high school diploma is required.
- Valid driver's license is required.
- Must work well with others and interact positively with customers, possessing excellent verbal and written communication skills.
- Must be detail-oriented, well-organized, and able to manage time and multiple projects efficiently to achieve the required result.
- Proficient use of Microsoft Office suite (including Word, Excel, PowerPoint, and Outlook), property management software, web-based software systems, and electronic file organization in a shared server environment is required.
- Must be able to define problems, collect data, establish facts, and draw valid conclusions.
