Job Summary:

The Physician Administrative Supervisor is a key role within TRA Medical Imaging, responsible for overseeing the Physician Administrative Support (PAS) department. This team is a hybrid of in-office and remote staff, working together to facilitate efficient communication between providers, referring communities, hospital partners, and TRA Medical Imaging staff. The PAS team operates 24/7, 365 days a year, and this role requires a strong leader with excellent interpersonal skills, able to support staff growth and development, and lead by example.

Key Responsibilities:
  • Supervise the PAS team, including hiring, training, coaching, and coordinating schedules.
  • Work as a member of the PAS team, demonstrating proficiency in PAS operations, including managing multiple phone lines, relaying information efficiently, and providing back-up coverage.
  • Ensure high-quality standards are met by providing clear expectations, performing regular QA, and conducting monthly one-on-ones and staff meetings.
  • Collaborate with the team on problem-solving and developing action plans, monitoring call volumes and productivity to ensure appropriate staffing levels.
  • Serve as the primary point of contact for the Centralized Staffing Office, utilizing staff scheduling software, and working collaboratively with operational leadership to update and publish staff schedules.
  • Review work schedules, ensure assignment of duties, and make recommendations for staffing changes as needed.
  • Approve Paid Time Off requests, ensuring adequate coverage of the department, and review time cards for analysis prior to submission to payroll.
  • Provide coaching and personnel development skills, assist in resolving department personnel concerns, and maintain confidentiality of all center and patient information.
  • Troubleshoot daily operational problems, use judgment to escalate issues, and practice quality customer service in a team environment.
Requirements:
  • High school diploma or GED required; associate degree or secondary training preferred.
  • Three to five years of medical, receptionist, and/or supervisory experience required.
  • Ability to use Microsoft Excel for generating productivity reports, knowledge of employee training and development methodologies, and experience with implementing new or revised organizational structures and business processes.
  • Knowledge of software, technologies, and applications that allow people to interact with computers via a telephone, web, or other electronic means, and ability to learn and understand medical terminology.
