The Center Operations Coordinator role is vital for managing the daily functions of one or more USO Centers, ensuring exceptional customer service and a safe, welcoming atmosphere for service members. This position is also responsible for developing and implementing high-quality, sustainable, and cost-effective programs, events, and activities in the surrounding areas. It aims to create engaging and memorable experiences for military personnel and their families, and may involve guiding and managing volunteers.

Key Responsibilities

  • Oversee daily operational procedures of the Center, ensuring a cost-effective, safe, and clean environment. Regularly inspect facilities and equipment to ensure readiness for use, while enforcing health and safety regulations.
  • Engage with visitors, providing expert knowledge about the Center's amenities, programs, and services, while addressing any issues that arise. May involve managing vendor relationships.
  • Assist in maintaining Center operations within budgetary constraints. Monitor inventory, manage cash handling, and provide data for financial and operational reports as needed.
  • Develop and maintain a Standard Operating Procedure manual detailing local operational processes and activities for efficient reporting and management.
  • Support the planning and execution of operational areas, which may include program logistics, inventory oversight, budget management, and social media coordination.
  • Assist in communications related to operations and programs, preparing announcements and content for various media platforms in line with USO guidelines.
  • Facilitate the planning and evaluation of USO programs and events, ensuring effective coordination of all necessary resources.
  • Collaborate with internal and external stakeholders to foster relationships with the military, community leaders, partners, and media to enhance support for the USO mission.
  • Coordinate with colleagues to ensure adequate resources, including volunteers and materials, are available for all programs and activities.
  • Communicate important information to volunteers, including shift openings and development opportunities, while maintaining accurate records of volunteer activities.
  • Guide prospective volunteers through the application process and assist in their training, while implementing recognition initiatives.
  • May require operation of a USO or personal vehicle.
  • Perform additional duties as assigned, including providing support for other roles as needed.

Qualifications

  • High School Diploma or equivalent.
  • 2+ years of experience in event management, marketing, customer service, or a related field, preferably within a non-profit or military organization.
  • Strong interpersonal and problem-solving skills, with the ability to engage with diverse audiences professionally.
  • Proficient in computer usage and familiar with various software applications, including Microsoft Office Suite and volunteer management systems.
  • Ability to handle sensitive information with discretion and demonstrate sound judgment.
  • Self-motivated with attention to detail, capable of managing multiple priorities effectively.
  • Basic math skills and familiarity with cash handling and reporting procedures.
  • Willingness to work flexible hours as required.
  • General understanding of the military community is preferred.
  • Must be able to obtain necessary credentials for access to USO facilities.
