Job Overview

The Human Resources Administrative Coordinator plays a vital role in facilitating the daily functions of the HR department and supporting overall office activities.

Key Responsibilities:

  • Execute various administrative duties for the HR team, such as managing HR supply inventory, processing orders, assisting with document management (including electronic filing), organizing conference room schedules, and performing data entry tasks in HRIS.
  • Support the onboarding process for new hires, which includes preparing welcome packets, creating and sharing employee profiles, organizing training materials, coordinating logistics for new employee orientation, and ensuring adherence to the schedule.
  • Oversee the temporary staffing process by managing requests, coordinating interviews with agencies and hiring managers, tracking temporary employee status, and ensuring necessary approvals for extensions.
  • Handle incoming calls, providing information and directing inquiries appropriately.
  • Welcome and assist visitors and clients in a professional manner.
  • Facilitate pre-employment background checks.
  • Maintain the uniform inventory and distribute as required.
  • Process monthly purchase orders efficiently.
  • Manage the procurement of employee access passes, ensuring all documentation is collected, maintaining records, and assisting employees with the collection process.
  • Sort and distribute HR-related mail and packages.
  • Contribute to the planning and execution of employee engagement events.

Qualifications:

  • High School diploma or equivalent is mandatory.
  • Preferred: A minimum of one year of experience in an HR administrative role.
  • Proficiency in computer applications, including Outlook, Word, Excel, PowerPoint, and other online tools is essential.
  • Experience with HRIS systems is advantageous.
  • Strong verbal and written communication skills in English are required.
  • A valid driver's license in good standing is necessary, adhering to the company's vehicle operation policies.
