About This Role

We are seeking an experienced Administrative Support Specialist to join our team in Knoxville, TN. As an integral part of our office operations, this role will provide administrative support to senior management and other personnel, ensuring the smooth day-to-day functioning of our office.


Key Responsibilities
  • Provide administrative assistance to senior management and other personnel, including coordinating facility maintenance, vendor management, and general office support duties.
  • Support project delivery and execution, including schedule management, budget review, and deliverable tracking.
  • Prepare and format technical documents and reports, specifications, printing, and binding.
  • Assist with marketing and business development efforts, including proposal development and pursuit tracking.
  • Maintain positive client relationships and ensure implementation of Health, Safety, Security, and Environment (HSSE) Policies, Procedures, Standards, and Guidelines.
  • Oversee weekly production meetings to meet specific project deadlines and maintain electronic calendar management and coordination of office meetings and training sessions.

Requirements
  • Bachelor's degree in Business Administration or related field preferred.
  • Five years of experience in an administrative assistant role, with supervisory experience preferred.
  • Excellent technical writing, organizational, and communication skills.
  • Prior experience working with Project Managers and the A/E field to manage contracts and subcontractors is a plus.
  • Demonstrated team player with the ability to work independently and take initiative.
  • Strong multi-tasking skills with the ability to prioritize and organize multiple concurrent assignments.

Estimated Salary Range:$55,000 - $65,000 per year.
